Assists Sr.
Director and Sr.
Asset Manager in day to day functions of the Boston Children’s Hospital Real Estate Portfolio.
Contributes to the effective operations of the real estate department.
Assists with scheduling, setting up appointments, data requests and follow up with contractor or vendors.
Oversees contractual agreements, leasing admin files such as insurance certificates and retail sales reporting.
The Property Assistant will be responsible for: Filing and maintaining all department documentation including but not limited to correspondence, contracts, invoices, purchase orders, and lease files.
Preparing correspondences, contracts, and other written vehicles as requested.
Assisting Sr.
Asset Manager and Sr.
Director with projects and preparing complex reports and documents associated with the Hospital’s real estate holdings including both leased and owned office, retail, research, and clinical properties.
Administering contractual agreements.
Maintaining lease admin files such as current insurance certificates and retail sales reporting, key action dates, options, and notices.
Providing information within the scope of knowledge and authority.
Receiving, screening, and drafting responses to correspondence.
Assisting in the preparation of tenant billings according to lease terms for base rent, common area maintenance charges (CAM), real estate taxes, utilities, bill backs, and collections/cash receipts.
Assisting in the preparation of annual operating and capital budgets for all properties, tenants, and leased locations.
Performing due diligence tasks associated with owned and leased property.
Tracking and maintaining utility invoices and payments.
Managing badge clearance for Associated Personnel in owned and leased spaces.
Assisting with processing, entering, and tracking work orders.
Serving as the main contact for communications between real estate and finance.
Scheduling appointments and meetings and maintaining calendars for supervisor(s).
Reserving meeting locations, ordering supplies and equipment, and preparing agendas.
Assisting in organizing and scheduling conferences, seminars, and other programs or events.
Maintaining departmental files, records, and databases.
Planning, prioritizing, and delegating work assignments and monitoring performance, providing feedback and guidance as needed.
Serving as a resource on departmental policies and procedures and providing assistance in resolving administrative issues.
Training and orienting new personnel.
To qualify you must have: Associates Degree is required in the area of Business Administration, Accounting, or Finance or a closely related field.
Bachelor’s Degree is preferred Minimum of 1 year of administrative real estate or property management experience required.
Analytical skills and judgment to interpret data and take the appropriate action in circumstances or situations vary.
Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
Ability to write comprehensive, detailed reports and proposals for review by management.
Commercial or retail Real Estate experience preferred.
